Terms & Conditions - For Rangers Ultra

Every competitor must agree to the following Terms and Conditions before being allowed to start a Beyond The Ultimate For Rangers Ultra race.
YOUR ATTENTION IS DRAWN TO THE DISCLAIMER AT CLAUSE 6, RULES AT CLAUSE 7, AND CANCELLATION AND DEFERRAL BY YOU AT CLAUSE 12.
PLEASE ALSO READ CLAUSE 22 – WE STRONGLY ENCOURAGE YOU TO TAKE OUT INSURANCE THAT COVERS YOUR ENTRY FEE IF YOU NEED TO CANCEL.

3. These terms
- These terms apply to all race entries made via our website.
- You must be 18 or over to enter.
- We may change these terms at any time, but the version that applies is the one in force at the time you place your order. We may also update these terms to reflect changes in law, regulation, or how we operate.. Where changes are material, we’ll notify you by email or via the Runner Portal.
- These terms are available only in English. Please save a copy for your records.
4. Orders
- Please check your order carefully before submitting. We reserve the right to cancel if your details are incorrect or incomplete.
- Your order is not accepted until we send a confirmation email. At that point, a legally binding contract is formed between you and Beyond The Ultimate Limited..
- After placing your order, you’ll be asked to provide additional information. If you do not provide this within 120 days of your event, we may cancel your place.
- Race entries are personal to you and cannot be transferred or resold.
5. Entry
- By entering, you agree to pay the required fees, take part on the event date, and follow all rules and instructions.
- Failure to comply with mandatory kit requirements may result in time penalties or disqualification..
- You may be provided with a GPS tracker. You agree to return it after the race or you may be charged a replacement fee.
6. Disclaimer
- These races are physically and mentally challenging. Risks include injury, extreme weather conditions, and remoteness from medical support.
- You take part entirely at your own risk. We are not responsible for any injury, loss, or damage unless caused by our negligence or breach of statutory duty..
7. Rules
- You must act responsibly and follow all safety instructions.
- You must not participate if unwell, unfit, under the influence of alcohol or drugs, or pregnant.
- You are responsible for your own medical and physical fitness and must obtain appropriate insurance.
- We may stop you from continuing if your participation may cause harm to you, others, the environment, or event safety.
8. Race descriptions
- Race descriptions are provided on our website, Runner Portal and in Race Packs. It is your responsibility to read and understand them before entry.
9. Providing the race
- We’ll do everything we reasonably can to run the event as scheduled, but some delays or changes may occur due to weather or other factors beyond our control.
- If the date must change, we will offer you a transfer, credit, or cancellation with the options set out in Clause 13.
10. Prices
- All race prices are in GBP and exclude travel to and from the event.
- Prices are subject to change but not after you have placed your order.
11. Payment
- You agree to pay the full entry fee as per the payment schedule listed on the Runner Portal.
- If you miss a payment, your place may be forfeited.
- All fees are non-refundable once paid.
12. If You Need to Cancel or Defer
- If you cancel your entry for any reason (including injury), no instalments or payments already made will be refunded. To cancel, please notify us via the Runner Portal.
- For the For Rangers Ultra, our charity partner offers a one-time, free deferral to the following year’s event if you are fully paid and notify us at least 90 days before the scheduled start.
- If you are unable to compete in the deferred event, you will not be eligible for another deferral or a refund.
- Deferral requests received within 90 days of the event are not eligible for a deferral or refund.
- If you are pregnant at the time of your event, you may be eligible for a deferral under our Pregnancy Policy, which allows one deferment per pregnancy for use within two years. This policy includes additional eligibility criteria and requires notice before the event start date. Medical verification may be requested. 13. If we cancel the race
We may cancel a race due to:
- Low participant numbers;
- Extreme weather or other force majeure;
- Any reason beyond our reasonable control.
If we cancel, we will offer a transfer, alternative race, or refund (see Clause 14). We are not responsible for travel, accommodation or other costs incurred by you.
14. Refunds if we cancel
If we need to cancel a race, we will do our best to offer you a place on an alternative Beyond The Ultimate event, subject to availability and any difference in price. This will always be our first option.
We do not guarantee a full refund in the event of cancellation. This is because a significant portion of your entry fee may already have been spent in preparing for the race. If no suitable alternative event is available, we may offer a partial refund at our discretion, taking into account the costs already incurred.
We are not responsible for any other costs you have paid in connection with the race, such as flights, accommodation, or equipment.
Refunds will be made using the same method of payment used for the original booking, where possible.
15. Service quality and remedies
- We promise to deliver the race using reasonable care and skill.
- If there is a problem, please tell us promptly.
- If we cannot fix the issue, you may request to transfer to another event or receive a refund in line with your legal rights.
16. Our liability to you
- We’re responsible for losses caused by our breach of contract or negligence, but not for things that couldn’t have been foreseen, or which are outside our control.
- We do not exclude liability for death or personal injury caused by our negligence.
17. Your information
We’ll handle your personal information in accordance with UK data protection law and our Privacy Policy.
18. No third-party rights
Only you and we have rights under this agreement.

20. Governing law
These terms are governed by English law. If you live elsewhere, you will still benefit from any consumer rights in your own country.
21. Other legal terms
- You can’t transfer your entry or these rights to anyone else without our permission.
- If any part of these terms is found to be unlawful, the rest will still apply.
- If we don’t enforce part of this contract, that doesn’t mean we waive our rights later.
22. Insurance for cancellation
We encourage you to consider taking out insurance that includes event entry cancellation cover, in case you are unable to take part in the race due to injury, illness, or other unforeseen circumstances.
As set out in Clause 12, if you cancel your place, any instalments already paid are non-refundable. In these cases, some insurance policies may reimburse your entry fee.
We do not recommend or endorse any specific insurers. However, for your convenience, we provide a list of insurance providers previously used by participants in our Insurance Guide. We do not check or guarantee the quality of these policies and accept no responsibility for their accuracy or outcomes.
SCHEDULE 1 – PAYMENT TERMS
- We accept all major credit cards and debit cards. All credit card and debit card payments need to be authorised by the relevant card issuer. For payment via bank transfer contact us at team@beyondtheultimate.co.uk
- Any services you buy from us must be paid for in advance. We will authorise payment at the time you place your order, however we may not take payment from your card until you have provided us with all the required information and we are able to accept your order.
- The payment schedule for the Race will be set out in the Runner Portal. If there is any conflict between the payment terms set out in the Runner Portal and this Schedule 1, the Runner Portal shall prevail.
- Unless otherwise stated in the Runner Portal or on our site in relation to the Race, payment for the Jungle Ultra, Ice Ultra, Desert Ultra and Mountain Ultra will be due as follows:
- 25% of the total Fees when you place your order;
- 25% of the Fees at least 270 days prior to the Departure Date
- 25% of the Fees at least 180 days prior to the Departure Date and;
- the remaining 25% of the total Fees at least 90 days prior to the Departure Date for that Race.
 
- If you make your order within 180 days but more than 90 days prior to the Departure Date, 50% of the Fees shall be payable immediately. If you make your order within 90 days of the Departure Date, 100% of the Fees shall be payable immediately.
- You acknowledge that the Fees reserve your place in a Race and that the Fees, and all instalments of the Fees, are non-refundable. Failure to make payment of any part of the Fees when due may result in your place in the Race being cancelled and offered to another competitor. We cannot guarantee that any portion of the Fees will be refunded in the event of cancellation of your order by yourself or by us for any reason, due to management and administrative expenses incurred by us.
- If we are unable to take payment from your card, we will try to contact you using the contact details you provided when you placed your order. If we are unable to contact you, we will cancel your order and notify you by email. You remain responsible for ensuring your payments are made on time.x
- If your payment is not received by us when due, we may charge interest on any balance outstanding at the rate of 4% percentage points per year above Barclays Bank plc’s base rate.
